Stalls, stables and who is standing where
Lay the yard out as it actually is — stables, stalls, and the horse in each one. Occupancy stops being something you count in your head on the way to the feed room, and an empty box is visible the day it becomes empty rather than at the end of the month. Moving a horse between boxes is one action and it carries the horse's whole record with it.

Each horse carries what it costs its owner. That is the number a livery rate should be set from, and the number to reach for when an owner asks why it went up. Receipts are filed by photographing them, standing in the yard.
Shared ownership and horses that are not yours
Ownership is recorded as shares, so a horse owned by two people, or owned by one and ridden by another, is something the software can represent rather than something you hold in your head. A boarded horse can also be leased to a third person — the owner pays for the stall and the leaseholder pays a monthly fee, and the two are billed separately.
